Extended Radius: For locations beyond 15 minutes, we may accommodate with a transparent, mileage-based fee discussed during your Discovery Call.

We recommend booking 1-4 weeks ahead, especially for in-person or traveling sessions. Popular times (evenings/weekends) fill quickly.
We understand life happens, and we aim for flexibility and open communication. To maintain the efficiency of our clinical schedule, we have the following policy in place:
Rescheduling: Rescheduling is free of charge with at least 48 hours’ notice.
Late Changes: Cancellations or reschedules with less than 48 hours’ notice may incur a 50% fee of the session cost.
Short Notice & No-Shows: Changes made within 24 hours of the appointment or no-shows will incur the full session fee.

The data is stored securely via the cloud in the EU by the largest cloud company in the EU who meet ALL EU GDPR (Regulations and Requirements) since 2016 for protecting Patient’s Data. Data is not shared with 3rd parties or insurance companies.
If you are concerned about this we only use your phone number or partial name (no full name) & with no patient email address and send the report manually via PDF/Email.

HIPAA

Since we transmit and store your Oligoscan reports—which contain identifiable health data—digitally, we strictly adhere to HIPAA’s Privacy and Security Rules to ensure your “biological roadmap” remains confidential.
We offer digital delivery for your convenience, but it’s important to know that standard email is not an inherently encrypted channel. HIPAA requires us to warn you of this risk. We obtain your explicit consent before emailing reports, or we can provide a secure printed copy in person to avoid electronic transmission entirely.
Under the latest 2026 HIPAA guidelines, you have a strengthened “Right of Access”. You may request a digital or physical copy of your historical data at any time, and we will fulfill that request within 15 days. You also have the right to request that we restrict how your data is shared, though NumaThrive never shares your results with third parties or insurance companies as a standard policy.
Once we provide a report to you (either via print or email), it is considered “disclosed”. A new 2026 HIPAA requirement is that we must notify you that once this information is in your possession, it may no longer be protected by federal HIPAA laws if you choose to share it with others, such as on social media or with uncertified third parties.
